Trustee — Membership Manager
Keep our sections full, our records right and everyone in the loop, from a young person's first night to the day they move on. Mostly remote.
Flexible, mostly remote with occasional visits to the hall
Every young person’s time with us has a journey: joining, moving up between sections, and eventually moving on. As our Membership Manager (a Trustee role), you’d look after that journey. You’d keep our sections full, keep everyone’s details accurate, and make sure leaders, parents and young people all hear the same clear message about what’s happening and when.
It’s the job that gives our leaders back their time to focus on the programme, nights away and camps. It’s also what makes the Group feel joined-up to the families in it.
What you’d be doing
- Keeping our sections full: managing the waiting list, welcoming new members as places open up, and making sure no space sits empty for long
- Managing movements between sections, so that when a Beaver is ready for Cubs or a Cub for Scouts, everyone knows who is moving, where and when
- Handling members leaving, and making sure their records are closed off properly
- Keeping everyone’s data up to date and accurate, and chasing anything missing, blank or out of date
- Making sure attendance is taken each week, and following up with families when someone hasn’t been along
- Staying in regular contact with section leaders, keeping them informed about who’s joining, moving and leaving
- Being the consistent voice to parents and young people on membership, so they get clear, joined-up messages about places, moves and changes while they’re with us
- Looking after people’s personal information: keeping it safe and private, and only holding what we actually need

Sam is moving up to Cubs in January
Hi both,
Great news: Sam is ready to move up from Beavers to Cubs! Their last Beaver night is before Christmas, when the team will give them a proper send-off, and they'll start Cubs on the first night back in January.
The Cubs leaders already know Sam is coming and are looking forward to meeting them. There's nothing new to fill in, as Sam's details carry across. Could you just check they're still right?

Moving up in January: who, where and when
Hi all, here's where we've got to for January:
That leaves Cubs at 24 of 24, and Beavers with two places to fill. I'll offer those this week.

Who it’s for
This is a non-uniformed admin and communications role. You won’t be running weekly sessions. It suits someone organised and friendly, who’s comfortable with data and systems and happy keeping lots of people in the loop. If you like keeping things tidy and helping people know where they stand, you’ll enjoy this.
Most of it can be done remotely, from home and in your own time, with an occasional visit to the hall when it’s needed. Taking this on doesn’t close the door on anything else. If you’d like to get more involved later, including working directly with our young people, you’d be very welcome.
This is a genuinely valuable role and a great chance to make a real difference to the Group. You’ll be fully supported, with access to our systems and training provided, and your PVG/Disclosure check is covered. We’re a Baillieston-based Group in Glasgow’s East End.
